1. COMPANY STRATEGY AND WORKMATE ROLE IN MEETING THE STRATEGY

The strategic objective of the company is to introduce the Kaizen philosophy in its daily life. Kaizen is more than management techniques. Kaizen is a management philosophy. The concept of Kaizen is an umbrella term for improvement in every aspect of life and being. Kaizen is not just a view of the product quality as such. Kaizen is an integrated effort for improvement at each level and in each activity. The meaning of Kaizen is therefore very wide, it means improvement not only in working life but also in the personal life as well as in social life.
KAIZEN means improvement, trying to do all things better. Kaizen is a way of reasoning and applies to all workmates. It is a process of continuous improvement of all activities from simple maintenance procedures through continuous workflow to the most complex processes in the company. An integral part of our work is constant and daily improvement of each of us, increasing our own skills, learning new things, thinking of improving our work, our expression, and innovation. Kaizen is a summary of activities and ideas on constant maintaining, improvement and innovation of existing processes, resources, standards and the introduction of more efficient, higher quality, more reliable, safer, friendlier, faster, more flexible processes, standards, work activities.
MAINTENANCE is an umbrella term for activities aimed at maintaining existing resources, supplies,
information, workflows, technological, managerial and operational standards.
INNOVATION is a summary of activities aimed at introducing new activities, products, services, technologies.
KAIZEN = PERFECTION + MAINTENANCE + INNOVATION
Job title is classified under the managerial hierarchy of the Pyronova company into working position:
LOWER-LEVEL MANAGEMENT

Each workmate of the company is at his/her work required:
- to act in accordance with the slogan "Looks for ways, who wants to"
- to study and apply methods of PDCA (Plan - Do - Check - Act) cycle
- to study and observe the IMS documentation
- to study and implement the Kaizen philosophy

2. DESCRIPTION OF BASIC WORK ACTIVITIES – MAINTENANCE

- provides smooth running of the secretariat and reception
- prepares administrative agenda to the needs of the company’s management
- handles correspondence as instructed by the company’s management
- is responsible for receiving and sending emails
- receive phone calls and passes messages for the management and workmates
- prepares administrative agenda to the needs of the company’s management
- keeps records of orders and contracts
- provides registration and administers records of the company in the enterprise software, assigns a specific post to corresponding employees,
- organizes workshops and business trips
- buys snacks and small equipment according to the management needs
- inspects the order in the premises of the company, supervises and communicates with the provider of cleaning services
- prepares and evaluates environmental aspects register
- gives improvement proposals and innovative solutions for higher quality and streamlining processes in the company
- self-study, education and career development
- performs other tasks arising from the OP, relevant directives and the direct superior instructions.

3. EGIBILITY REQUIREMENTS

Education: complete secondary education, university is an advantage, financial field
Background: graduate / 1-2 years in administration
Working with PC: MS Windows, MS Office, EIS Helios, ZImbra, Jira
Knowledge of foreign languages: English obligatory, another language is an advantage
Personality requirements: representative, polite demeanor, organizational skills, reliable, self-reliance
Other: driving license B, basic knowledge of business correspondence

4. BASIC OBLIGATIONS

4.1. FOR THE PRODUCT

Fundamental liabilities for the product on the level of maintenance result from the job description and requirements of the job title in the managerial hierarchy.
- for the smooth running of the Secretariat Office
- for the daily dispatch of correspondence and disturbing incoming mail to addresses
- for ensuring relevant requirements for business trips of the employees (flights, hotels, etc.)
- for the correct implementation of the tasks assigned by the management and in due time
- for the other in the secretariat premises, kitchens, entrances and meeting rooms
- tasks related to the job description
- additional liabilities specifies in the IMS documentation (orders, directives, etc.)

4.2. FOR THE MACHINERY AND EQUIPMENT

- for the maintenance and functionality of copy and coffee machines
- copy machine, coffee maker
- for the entrusted low value TFA and TFA

4.3. OTHER LIABILITIES

- for the software
- for corporate databases
- for the information and know how
- for the proper use of work time
- for representing the company in the eyes of external contacts
- for compliance with regulations and legislative provisions
- for compliance with internal directives and regulations
- for all employment outputs
- other in accordance with the job description and OP
- for compliance with the confidentiality of company business secrets and personal data in the entrusted competence and scope

5. FUNDAMENTAL COMPETENCES

5.1. POWER TO SIGN

- receipt of incoming mail
- other in accordance with the job description and OP

5.2. POWER TO DECIDE

- on the need of food supplies
- other in accordance with the job description and OP

5.3. POWER TO REPRESENT

- independent accountant in the range of temporary authorization
- WRS in the range of temporary authorization

6. INTERNAL AND EXTERNAL COMMUNICATION

6.1. PRINCIPLES OF COMMUNICATION

The process happens under the directive of Corporate culture and communication

6.2. NECESSARY INTERNAL AND EXTERNAL CONTACTS

PYRONOVA workmates in the company and in the subsidiaries. External contacts resulting from the workload.

6.3. SERVING IN ACCORDANCE WITH THE STANDARDS, REGULATIONS AND PROFESSIONAL SOURCES.

As part of his/her work, a workmate is required to observe:
- generally applicable legislation (laws, government regulations, decrees, etc.)
- IMS regulations (orders, directives, quality policy, etc.)
- the work contract with the company, including its addendum technical standarts (e.g.: STN, EN, VdS, FM…)
