The Process Administrative Assistant is responsible for delivering expert administrative support to senior management representatives. He/she uses ability as a skilled specialist to contribute to the development of new concepts/techniques and to complete assignments/tasks in innovative and effective ways. Exercises independent judgment within defined parameters. Supports internal company’s local, strategic or WW projects/ processes to ensure that they meet all scope, time, budget and quality expectations. This is achieved through planning, controlling and coordinating on a country as well as on geography level.

Job specifics/responsibilities:

Performs tactical and strategic administrative support tasks for upper executive level employees of the organization
Tasks may include, but are not limited to, key records maintenance, compiling data for reports, administrative tasks associated with the budget process, scheduling executive appointments and meetings, calendar maintenance for upper executive level employees, answering/ screening/ routing telephone calls for upper level executives, preparing expense reports, preparing/ editing executive presentations, making travel arrangements, mentoring the general administrative staff of the department and other established general administrative requirements of the organization
Coordinates the administrative work within the department/division, working with other departments/divisions and companies
Applies subject-matter expertise and analytical skills to evaluate process change impacts from operational perspective
Directly communicates with process owners/stakeholders regarding related tasks and operational updates
Ensures that processes are followed and planned tasks are done on time
Proposes and executes corrective/preventive actions aiming process improvement
Be responsible for respective documentation and data management
Manages project/ process financials; provides reliable financial forecasts to Management
Manages first level stakeholder relationships
Requirements:

Bachelor degree or equivalent
3+ years’ general administrative or equivalent experience
1+ years’ in project support role or in like roles/businesses
Fluent in verbal and written German and English
Advanced administrative skills
Basic knowledge of project/ process administration
Excellent knowledge MS Office products – Outlook, Word, Excel, PowerPoint
Excellent communication and presentation skills
Structured work approach
Solution oriented, self-motivated
Able to operate effectively within a virtual cross-cultural team
Proactive and able to work in dynamic environment
Knowledge in ITIL infrastructure management is an advantage
