We are seeking a highly organized and dynamic Back Office & Administrative Support Coordinator to join our Facility Management team in Sofia, Bulgaria. This pivotal role involves a blend of administrative duties, account & contractor management, coordination, reporting and client interaction, making it ideal for individuals who thrive in fast-paced environments and are keen on contributing to the smooth operation of our services.

Job Description:

Support account management activities for multiple clients.
Participate in and support administrative tasks related to tenders.
Support the Business Development Coordinators in their initiatives.
Maintain accurate and up-to-date records in the company’s systems.
Coordinate with internal and external stakeholders to ensure smooth project processes.
Handle reporting, follow-up emails, and liaison with legal advisors for vendor and client contracts.
Assist in preparing PowerPoint presentations and participate in calls.
Produce monthly reports identifying performance against agreed contracts and budgets.
Maintain financial administration, monitor expenditure, follow up on outstanding payments, and liaise with the finance/accounting team.
Coordinate with third-party suppliers/contractors and attend monthly review meetings.
Monitor and respond to client requests, liaising proactively and reactively with staff and supply chain partners.
Report to the central Business Development Team regarding customer leads and assist in developing strategies to maximize sales call outcomes.

Qualifications:

Bachelor’s degree in Business, Business Administration or a related field is an asset.
2+ years proven experience in similar roles or in facility management.
Excellent communication and organizational skills.
Having knowledge of facility management will be considered an advantage
Ability to work independently and as part of a team.
Proficiency in English and Bulgarian languages.
