Job scope/summary:

The Adoption Services Specialist is a critical role with the objective to effectively manage the services related to the Smartsheet application used by Adoption (Transition & Transformation) Managers. Core services include license management, development of Smartsheet templates/dashboards, training activities and maintenance/ support services. In addition, the Smartsheet Services Specialist assists with content management, MS SharePoint / Team administration and project coordination. Deliverables are typically time sensitive and must be provided according to a pre-defined schedule therefore good time management skills are required.

Job specifics/responsibilities:

Collecting status updates and coordinating project plans
MS SharePoint / Teams administration and support
Developing application standards (Smartsheet)
Resolution of maintenance and support requests
Smartsheet License Management and Control Center Administration
Release and Change Management
Reporting to relevant stakeholders
Working with HP internal systems on data management
Extracting raw data from various databases & tools
Ensuring proper follow-up with management
Participation in improvement projects and initiatives
Operational Smartsheet activities, e.g. monthly data loads, deal specific support

Key deliverables/accountabilities:

Maintenance and support requests are processed in a timely manner
Project deliverables are delivered according to the schedule
Development of new features is done as specified
Release management including testing and deploying Smartsheet solutions
Smartsheet content is created in assigned knowledge domains and up to date
Required reporting is provided
Operational responsibilities completed on time

Education (degree) and professional experience required:

Bachelor’s degree or equivalent
1+ year previous experience in Services/Partner Management, IT or Operations

Other requirements:

Fluent in written and verbal English
Personal skills and qualities:

Ability to work with multiple priorities – multi-tasking
Excellent organization skills and experience to work with deadlines
Strong analytical and summarizing skills
Team player
Very good communication skills – outgoing, natural communicator
Good presentation skills
Ability to operate effectively within a virtual (cross-cultural) team
Technical skills (procedures and documents the employee has to be acquainted with):

MS Office; Excellent Excel skills formulas, pivot tables, conditional formatting etc.
Smartsheet advanced user experience incl. development of templates and dashboards
