We are looking for a highly-motivated Marketing and Special Projects Coordinator to play an intricate and vital support role for our global marketing and communications team, reporting directly into the Vice President of Global Communications.
This position will work on special requests from the founder of Acronis, CEO and other executives as well as communications projects to support visibility of our brand.

In addition to supporting special communications projects, the Marketing and Special Projects Coordinator will own and coordinate VIP events including agenda, logistics, food and beverage, and vendor management. To be successful in this role you must have experience in coordinating all logistics an detailed itineraries for executives attending VIP events—flights, hotels, transportation, visas, permits, tracking expenses—and execute purchase orders/requests for the VP of Global Communications.

RESPONSIBILITIES:

Project management of marketing events and campaigns to improve business processes within the marketing organization and ensure excellent coordination and on-time delivery
Be the administrator and support for marketing project management, workflow, and final proofing
Organize different types of VIP events and follow company’s event policy with high-end standards of each detail (content, design, production, etc.)
Contact vendors, suppliers and define the best options for the projects
Process payments and contracts under company’s internal practices
Manage the event schedule, organize all details, and work under short deadlines
Manage external agency partners (events, MICE, BTL, production, etc.)
Adapt and control brand book and partners brand during events
Regularly provide post-analysis of organized events with budget, leads, reports, etc.
Vendor management through a project lifecycle for the marketing organization, with a focus on sourcing of corporate merchandize (vendor sourcing & set-ups, quotes, contracts, spec’ing, proposals/estimates, logistics and delivery)
Work cross-functionally with product marketing, channel, campaign and design groups to roll out high-impact integrated campaigns, and ensure consistent brand messaging across all communications
Negotiate, manage and track contracts, purchase orders and invoices
SKILLS & EXPERIENCE:

5+ years of similar experience within marketing/events function and/or as an executive assistant preferred
Strong organizational skills and ability to structure and prioritize work in a fast-paced environment and handle multiple tasks concurrently
Service-oriented, positive personality, and proactively anticipates needs and dependencies without being asked or directed
Strong verbal and written communication skills
Ability to travel as needed
Proven ability to work cross-functionally at various levels (local, regional and global) of an organization
Must be familiar with office software (Word, Excel, PowerPoint),
Strong plus knowledge in CRM applications (salesforce.com highly desired; and Marketo a plus), and fluent Zoom user
Customer-centric thinker with excellent communication and presentation skills—both externally and internally working with all levels of the organization including c-suite executives
High level of discipline, attention to detail, and ability to meet deadlines in a fast-paced environment while still maintaining a high-level of accuracy
Outstanding organizational, multi-tasking, and creative problem-solving skills
Team-player and positive attitude, eager to do more and help out, strong interpersonal skills and understanding of different cultures
Self-motivated, proactive, and efficient time management
Passion and commitment to succeed by working hard and never giving up
Proficiency in English, first or second language preferred
Russian language would be considered a strong plus
