The Bid Coordinator assists the Bid Manager with execution of the pursuit process and managing the pursuit schedule.

Responsibilities:

• Pursuit Plan – work with Bid Manager (BM) to develop and maintain the plan
• Yield Reviews – work with the BM and the yield coordinators to set up checkpoint reviews
• Pursuit Budget – work with BM to develop and then track pursuit budget information (update PPM), including monitoring of expenses
• Own and manage the actions register 
• Ensure bid rooms and other working areas are available to pursuit team members, and co-ordinate the necessary access
• Co-ordinate meetings and pursuit team calls (internal and client facing); send out diary invitations, book meeting rooms, arrange logistics, take actions and minutes and follow up
• Set up SharePoint structure; set up and maintain bid members team list, manage access; set up and maintain availability calendar; set up pursuit templates and upload to share (contacts list, team availability, team handbook)
• Outlook – set up team distribution lists in outlook
• Work with BM to ensure milestones are uploaded and up to date. 
• Communicate travel plans; hotels, flights, visas, logistics. Communicate approval information (approval chain, business justification etc…) to team members 
• On-board new pursuit team members
• Support due diligence activities as required
• Support the Bid Manager with any other tasks and activities not covered above, as required.


Requirements:

• University degree required
• 3 + years of experience working in the IT industry
• Knowledge of bid and / or project tools and process
• Excellent presentation and communication skills in English and Italian– written and verbal 
• Able to work to deadlines and tight timescales
• Good collaborator – works well in a team environment
• Flexible – able and willing to take on new responsibilities at short notice to help the broader team achieve its objectives
• Diligent – good attention to detail
• Good at handling complexity – able to manage multiple tasks concurrently
• Good planning and execution skills – able to set out a plan of activities to achieve specific objectives on time, and then execute the plan.
• Good organisation skills
